0 Duluth, GA Duluth, GA Full-time Full-time From $48,000 a year From $48,000 a year 11 days ago 11 days ago 11 days ago Summary Under direct supervision of the Arena Director of Event Services, assist the Arena Operations Department in all aspects of events including planning, client integration, coordination, and distribution of information within the facility, client follow-up, invoicing, and billing.
Responsibilities Include the following.
Other duties may be assigned.
Plan, coordinate, and execute meetings/events according to the needs of our clients in a timely manner by maintaining constant communication with the client before and during their meetings/events.
Work closely with the Booking Department and Accounting to ensure that the client's needs are addressed in a timely manner.
Attend and host event meetings when necessary.
Research, review, and recommend equipment, materials, and supplies required to make an event successful.
Coordinate outside service needs with food and beverage contractors, decorators, or other vendors.
Issue appropriate paperwork to the proper staff in a timely manner.
Handle needs and requests from our clients and relay to venue staff in a timely manner.
Maintain records of all event-related information including expenses and work with accounting to accurately invoice clients appropriately.
Maintain a professional appearance and keep positive PR with clients and staff.
Ensure that usage of the arena facility, equipment and property is utilized correctly.
Knowledge of and respond to crowd control and/or crowd management situations in a prompt and decisive manner.
Respond to visual and audible alarms from building automation and life safety systems.
Make immediate decisions and communicate with all users of the facility in an emergency situation.
Serve as Facility liaison between client and GSD.
Attend and present meetings as needed.
Develop and maintain a harmonious working relationship with all other departments.
Maintain and order all necessary supplies and materials for the department.
Provide excellent customer service and maintain venue integrity at all times.
Scan and record safety documentation as needed.
Rotate with other facility personnel to function as Manager on Duty (MOD), Work extended and/or irregular hours including nights, weekends and holidays as needed.
Keep historical records of past events and incidents.
Skills and Abilities Position requires the ability to:
Demonstrate knowledge and proficiency in planning and coordination of sporting and entertainment events, understand industry terminology, planning, budgeting, life-safety standards, facility capabilities, operational procedures, event coordination, and event-related services.
Demonstrate the principles and techniques of supervision, training, budgeting, accounting, and other administrative duties.
Handle conflict, make common sense decisions and exercise proper action during high tension and stressful situations.
Handle multiple tasks simultaneously.
Be able to get in and around the facility - position requires personal mobility.
Follow and adhere to all safety precautions, rules, regulations, risk management, and emergency procedures.
Perform light lifting and carrying at times.
Be able to withstand moderate to loud noises.
Operate personal computer using Windows and Microsoft Office software as well as event software.
Knowledge of AutoCAD or similar programs.
Ability to read and understand blueprints.
Operate portable radio and standard office equipment.
Follow oral and written instructions and communicate effectively with others in both oral and written form.
Organize and prioritize to meet deadlines with special attention to details.
Work effectively under pressure and/or stringent schedule and produce accurate results.
Work as a team member as well as independently, exercising judgement, and initiative.
Maintain an effective working relationship with employees, clients, guests, and others encountered in the course of employment.
Remain flexible and adjust to situations as they occur.
Possess a valid driver's license and be able to legally operate a motor vehicle in the state of Georgia.
Education and Experience Bachelor's degree from an accredited college/university and two to three years related experience and/or training in event coordination or meeting planning; or an equivalent combination of education and experience.
Customer service experience is required.
