ESSENTIAL DUTIES AND RESPONSIBILITIES The following duties are typical for this classification.

Duties/Responsibilities for Human Resources:
(60%) Serves as the main point of contact for HR events such as the wellness committee and employee appreciation events, prepares many of the back-end details of the parties and ensures proper execution of each event.
Creates department announcements including birthday reports, new hire reports, and events announcements as needed using Excel and creative software such as Canva.
Answers and directs departmental phone calls.
Receives and distributes office mail.
Schedules and organizes appointments; takes the minutes during departmental meetings.
Organizes and distributes incoming emails.
Performs digital and paper filing.
Schedules and confirms recruiting appointments and pre-employment testing for candidates.
Prepares drafts for open records request responses in a timely manner.
Proofreads and types documents and correspondence produced by the department.
Reviews, tracks, and documents compliance with mandatory and non-mandatory training, continuing education, and work assessments.
This may include safety training, anti-harassment training, professional licensure, and aptitude exams and certifications.
Assists with the preparation of human resources reports such as attendance, new hire, and turnover reports.
Completes mass mailings for the HR Department as needed.
Reconciles large bills, corresponds with the provider, and then codes them in the accounting system in a timely and accurate fashion.
Orders supplies for the human resources office.
Assists with I9 verifications and some employment verifications.
Perform other similar duties as assigned.
Duties/Responsibilities for IT:
(40%) Receives and distributes office mail.
Schedules and organizes appointments; takes the minutes during departmental meetings.
Inputs all invoices and codes them in the accounting system in a timely and accurate fashion.
Orders supplies for the IT office.
Performs other related duties as assigned.
REQUIRED SKILLSAND ABILITIES:
Excellent verbal and written communication skills.

Ability to operate general office equipment.
Ability to type 60 words a minute.
Proficient in Microsoft Office Suite or similar software.
Strict ability to maintain confidential information at the highest level.

MINIMUM
Qualifications:
Post-secondary coursework in Office Administration or business-related field.
Five (5) years or more experience providing administrative support to senior management positions (Director level or above).
OR, any combination of education and experience sufficient to successfully perform the essential functions of the job.
PREFERRED
Qualifications:
HR administrative experience preferred.
The Executive Assistant's starting pay will be competitive and commensurate with the chosen candidate's qualifications and experience.
The targeted starting pay is between $59,929 and $63,950/year.

PHYSICAL DEMANDS:
While performing the duties of the job, employee typically handles office equipment, objects, or controls and frequently communicates with others.
Moderate physical exertion is present because of some stooping and kneeling required.
Employee will sitand/or stand for long periods of time and may occasionally move up to 25 pounds.
Must be able to safely operate a motor vehicle and to perform tasks involving manual dexterity, such as use of a computer.
May require limited travel between facilities or to external agencies from time to time.
